Application Guidelines

Purpose

We will hold an Industry Day, which will feature lectures and exhibitions that will provide an opportunity to match Japan's defense industry with the U.S. military and U.S. defense-related companies.

The secretariat will conduct additional interviews regarding matters necessary for exhibiting.

In the event that there are a large number of applications for exhibiting, we may decline your application after strict screening.

Fulfillment of Terms

Exhibitors must comply with the various regulations described below and the "Exhibition Regulations" presented by the Secretariat. If the Secretariat determines that you have violated these, the Secretariat may refuse your entry, cancel your exhibit, remove or change your booth, exhibits, or decorations, or order you to leave the venue, regardless of the time, and may refuse to exhibit in the future. In such cases, the Secretariat will not disclose the reasons for its decision. Furthermore, the Secretariat will not compensate for any damages suffered by exhibitors or related parties due to the removal or change of booths, exhibits, or decorations.

Exhibitor Qualifications

Companies are eligible to exhibit if they meet all of the following conditions:

  1. The exhibition must be in line with the purpose of this project.
  2. The following reasons must be met:
    1. (1)The exhibitor must be able to set up the exhibit space.
    2. (2)Able to be present at the booth during the event, to deal with visitors and manage exhibits. It is preferable that you can provide explanations and responses in English.
      *Interpreters are available, but the number is limited.
    3. (3)It will be possible to dismantle the exhibition after it has ended.
    4. (4)You will be able to enter your company information into the exhibition portal site.
    5. (5)You will cooperate in submitting any necessary information requested by the Secretariat.
    6. (6)You will cooperate with interviews by the Secretariat regarding the content and number of business negotiations held during the event, as well as subsequent developments.
    7. (7)Ability to cooperate with projects implemented by the government.
  3. The company must meet any of the following criteria:
    1. (a) Companies involved in the development, manufacture, maintenance, etc. of defense equipment that are contracting parties to the Ministry of Defense and the Self-Defense Forces
    2. (b) A company that receives orders from a contracting party in order to fulfill a contract (not limited to first-tier contractors, but including second-tier and subsequent contractors)
    3. (c) Domestic companies interested in participating in the defense sector with a view to receiving new contracts from the Ministry of Defense
    4. (d) U.S. defense-related companies
    5. (e) Japanese and U.S. Government Agencies

Exhibitors are responsible for preparing any other decorations and exhibits. (Some options are available at extra cost.)

There is a limit to the amount of electricity we can use. More details will be provided separately.

Handling of Personal Information

  1. When acquiring "personal information" through an exhibition or other means, exhibitors are requested to comply with the Personal Information Protection Act and related laws and regulations, and to acquire such information lawfully and appropriately. The purpose of use must be publicly announced and notified, and the information must only be used within that scope. Exhibitors must obtain "consent" from the person who acquires the "personal information."
  2. Exhibitors are requested to properly manage and handle any "personal information" obtained through exhibitions or other activities in accordance with the "safety management" requirements stipulated by law.
  3. If Exhibitors receive requests for the disclosure, correction, addition, deletion, suspension of use, erasure, or complaints of "Personal Information" from the subject of such information obtained through an exhibition or other means, they must take lawful and appropriate action in accordance with laws and regulations.
  4. In the event of a dispute between an exhibitor and the person who owns or claims to own the "personal information" acquired, managed, and operated through an exhibition or other activities, the two parties must negotiate to resolve the dispute. The Secretariat will not bear any responsibility in such a case.

Prohibited acts

  1. The following actions by participants are prohibited. Exhibitors who engage in any of the following prohibited actions may be warned by the Secretariat or asked to leave the venue.
    1. (1)Any action that disrupts the operation of the event.
    2. (2)Harassment towards our company or other participants
    3. (3)Recruitment to a specific religion
    4. (4)Election Campaigns
    5. (5)Discriminatory remarks and behavior towards others
    6. (6)Any speech or behavior that libels or slanders others or violates their privacy
    7. (7)Behavior that violates laws, regulations, or public order and morals
    8. (8)Talking loudly during lectures or other events where private conversations are prohibited
    9. (9)Eating or drinking in places where eating or drinking is prohibited
    10. (10)Smoking outside designated smoking areas
    11. (11)Filming or recording the event without prior permission from the event organizers
    12. (12)Any act of being uncooperative with the infection control measures implemented by the Secretariat
    13. (13)Any other conduct that the Secretariat deems inappropriate for participation in the event.
  2. Even if an exhibitor suffers damage as a result of the Secretariat's measures based on the preceding paragraph, the Secretariat will not compensate for any damage.

Liability

  1. In the event of trouble with a third party, such as theft, accidents (including during loading and unloading), etc., the exhibitor will take responsibility for the matter and resolve it through discussion between the parties involved, and the organizers will not be held responsible in any way. Furthermore, we will not be held responsible in any way for any problems that occur between exhibitors or visitors after the event has ended.
  2. If an exhibitor causes damage to the organizers or a third party, the exhibitor who caused the damage shall settle the matter at his/her own responsibility and expense.
  3. The organizers will not compensate exhibitors or related parties for any damages incurred as a result of changes to the dates of the event or cancellation of the event due to weather, disasters, or other causes beyond the organizers' control.

Cancellation

  1. If the event must be canceled due to a typhoon, other meteorological factors, or other reasons, a decision will generally be made by 8:00 a.m. on the day of the event and relevant parties will be notified.
  2. In addition, the event time may change due to changes on the day or operational reasons.

Precautions

These terms and conditions will come into effect on Thursday, July 3, 2025.

Please note that even if you wish to exhibit, we may not be able to accommodate your request due to the large number of applicants and the needs of the U.S. military, etc.

The secretariat will contact companies whose participation has been confirmed.

Please refrain from declining your participation after your participation has been confirmed.

The right to exhibit cannot be transferred to a third party.

Exhibitors are responsible for their own travel expenses, parking fees, and transportation costs.

The contents of this matter may be subject to change.

There is a possibility that media coverage will be conducted on the day of the exhibition.

The exhibition will be covered in the media at a later date, and the names of exhibiting companies may be made public.

The organizers may contact companies that were not able to exhibit regarding their products and technologies.

Handling of personal information

(1) Basic Policy

Kids Integration Co., Ltd., commissioned by the Defense Acquisition, Technology and Logistics Agency, recognizes the importance of personal information and believes that protecting personal information is a social responsibility. In accordance with the relevant laws and regulations, the company will properly acquire, use, and manage personal information handled on this website as described below.

(2) Scope of information to be collected

This site automatically collects Internet domain names, IP addresses, site search query information, and other information related to browsing of this site, and also uses "Google Analytics" to understand how you use this site. Among these, cookies (information sent from the server to the user's browser to identify the user on the server side and stored on the user's computer) are limited to facilitate the smooth implementation of the services provided by this site and do not contain any personal information. Users can disable cookies by changing their browser settings, but if they do so, some website functions may become inaccessible or some pages may not be displayed. User information collected by Google Analytics is managed in accordance with the privacy policy of Google, Inc. Kids Integration Co., Ltd. is not responsible for any damages caused by the use of Google Analytics services.

(3) Purpose of use of registered and collected information

The registration and collection information of this site will be managed appropriately and used only for statistical processing and analysis of usage status to contribute to the smooth implementation and improvement of the services provided on this site, provision of necessary information, registration for events, acceptance of opinions and questions, identity verification of registrants, etc., and will not be used for any other purposes. In addition, if the ATLA acquires registration information through Kids Integration Co., Ltd. pursuant to the provisions of (4), the information will be managed appropriately in accordance with the information management regulations, etc.

(4) Provision of registered and collected information to third parties

The registered and collected information on this site will not be provided to any third party other than the contracting party, the Defense Acquisition, Technology and Logistics Agency, and the secretariat, EY Strategy & Consulting Co., Ltd., except in cases where there is consent from the registrant, where required by law, or where the identity of the registrant is requested from the registrant's company, as necessary. Furthermore, the provision of such information to the Defense Acquisition, Technology and Logistics Agency is limited to company information (company size, field, etc.), and personal information of registrants (name, job title, email address, etc.) will not be provided, except in cases where there is suspicion that the registrant is using the information on this site to act in a manner contrary to its purpose.

(5) Entrustment of the handling of registered and collected information

We will not entrust the handling of registration and collected information on this site to a third party.

(6) Measures to ensure safety

We will take necessary measures to prevent the leakage, loss, or damage of registered and collected information on this site, and to properly manage the information we handle.

(7) Responses to consultations, disclosure requests, etc.

Kids Integration Co., Ltd. will endeavor to respond appropriately and promptly to inquiries regarding the handling of acquired personal information. In addition, we accept requests for disclosure, etc. (notification of purpose of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, and suspension of provision to third parties) of personal information held by the Association that is subject to disclosure.
